Communications occur in many forms via different channels and in one way or another, most professionals are required to send messages, emails, or address the audience, and having good communications skills is essential.
2. Empathy
Take an example of a client calling to complain about the internet service provider that has been spotty for a week and has caused losses in the company. The IT expert responds, “I really understand your situation and how frustrating that has been. Kindly allow me to troubleshoot the issue and give you feedback in the next one hour.” That is empathy, understanding the client’s perspective.
For you to deliver excellent customer service, it is important to understand the clients’ needs, respond effectively and solve the problem.
3. Problem Solving
Solving problems is the key to excellent customer service. If a customer raises a concern, the person in charge needs to find out the reason and how to fix it.
Let’s take for example a social media manager handling the social media platforms. A customer raises a concern via LinkedIn that she is experiencing challenges uploading her CV to the database. The social media manager will be required to find out the cause of the problem and help the client to upload the CV successfully.
4. Positive Attitude
Sometimes you will encounter clients who are angry with your product or service and in such a situation; it is important to be calm. When you drive customers away with a negative attitude, it can lead to a negative reputation and you will lose many customers.
Assume that you ordered an item online and that what is delivered is different. You call back to request for refund and the sales representative hangs up or talks rudely. The step you take is to inform many other people about poor customer experience and that will taint their reputation.
